Swim Meet Volunteer Job Descriptions

CLERK OF COURSE

Help collect and lineup the different age groups before events.  There are several clerk of course positions to ensure all swimmers age 10 and under have help getting to their race on time.

CONCESSIONS

Help set up and sell snack food during the meet.

FINISH JUDGE

Watches as the swimmers touch at the end of the heat and determines who is 1st, 2nd, 3rd, and 4th.  He (she) circles the appropriate information on the finish sheet which is picked up by the runner before the next heat begins.  There is one finish judge from each team.

LANE RECORDERS

Writes information on the heat sheet including the swimmer’s name, event, heat number, lane number, and team.  The heat sheets are then picked up by the runner at the start of the heat.  There is one lane recorder for each lane.

RIBBON WRITERS

Writes the meet date and swimmer’s name on the ribbon and circles the appropriate information on the ribbon tags.  The ribbons, heat sheets and DQ sheets are then placed in the swimmers file folder so they can be distributed at practice the next day.

RUNNERS

Picks up heat sheets and finish slips for each heat and takes them to the sorter’s table.  Also gets any DQ slips from the stroke judges.  This position is very busy and requires a lot of walking back and forth throughout the meet.  For this reason, anyone volunteering for a runner position receives two volunteer shift credits.

SCORER

Records the swimmers’ names and scores they earned on preprinted scoring sheets.  Scoring is a simple progression of addition for the first heat only.   The scorekeeper passes the finish slip and heat sheets to the ribbon writers.  There is one scorer for each team.

SORTER

Places the heat sheets in the 1st, 2nd, 3rd, and 4th order according to the finish slip.  He (she) then passes this information on to the scorers.  

STARTER

Welcomes the teams and starts all heats.  He (she) announces the event and heat number, places the swimmers in the start position, and operates the starting system to start the heat.   He (she) is also responsible for calling false starts.

STROKE JUDGE

Is responsible for determining the legality of the swimmers’ takeoffs, strokes, kicks, turns, and touches.  If an infraction is observed, he (she) will call a disqualification.  Stroke judges receive two volunteer shift credits for working a meet.  Mandatory stroke judge clinic will be held June 6, 2012 at 6pm at Woodgate pool.  Woodgate is located off of 146th Street between Carey and Gray Rd on the south side of 146th.

TIMER

Times a swimmer from the start signal until the pool wall is touched.  There are two timers per lane.  All times are recorded on a timer’s sheet and used for seeding placement in future meets.

ICE PICK-UP FOR HOME MEETS

The morning of our 3 home meets, 2 individuals will take concession coolers to runyon Equipment on Carmel Drive and fill up with ice.  Bring back to the pool and drop of at Provost Clubhouse.  Pick up for ice is at 7:00am.  This position should take no longer than 1 1/2 hours and involves heavy lifting.  Individual driving will need a large van or SUV to carry the coolers.

EVENT CARD TURNER

This position counters for 2 volunteer shifts.  Event board turner will stand next to the starter and manage the board the duration of the meet.  Each heat and event has a number and you turn the cards from the board after each heat/event.  You will stand the entire meet for this position.

Volunteer Information
Note:  This season, we are requiring all families register for their shifts or pay us to hire replacements prior to the first meet.  Thanks for your cooperation!

Volunteers need to arrive by:
4:30 for home meets
4:45 for away meets
Check in with the Vortex volunteer coordinator to pick up your supplies and be assigned to a person who will train you if you are new to an assignment. 

Shift Requirements
All families are required to work 2 shifts

A shift (ie. a job from the list on the left) usually lasts the duration of a swim meet. During your shift, please keep in mind, that your focus will be dedicated to the swim meet.   If you have young children, it will be difficult to watch them and do your job.  Families may elect to have one family member work 2 separate meets or two individuals work the same meet to fulfill the 2 required shifts.  
 
If you absolutely can't work any of the positions offered and are unable to find a substitute, we will hire a replacement for you for $40 per shift.  To elect this option, please contact Angela Torosian at volunteer@westclayswimming.com  prior to the first swim meet. 
There are also a limited number of non-meet volunteer opportunities.  Click on June 1 in the volunteer website to signup for those options.

If you choose to pay for one or both of your required two shifts, checks must be received no later than June 7th.

 

All checks should be made payable to West Clay Social Committee. Checks can be dropped off during Parent Meeting Night, Open House or during swim practice. (In order to manage our paid help and have sufficient volunteers to help run a meet, there will be no exceptions if you fail to sign up or pay for your position, prior to deadline, your child will not be allowed to swim. This is league-wide practice in regards to volunteer sign-ups).

END OF SEASON PARTY COORDINATOR

This role coordinates the end of season ice cream party (including shopping, set up, serving, and clean up.)

REGISTRATION PROCESSING 

This position loads all of the registration data into excel the week following registration. 

SWIM MEET PAPER PREPARATION 

This position prepares all of the papers used during swim meets.
